Landlord Compliance and free landlord tier — additional terms
Draft. This version is still being finalised and will be confirmed before our service opens. Version 0.4. 20 October 2026.
These terms add to our Terms of Service for Landlord Compliance (£6 a month, including VAT) and the free landlord tier. If the two conflict, these terms apply to those plans.
B1. What Landlord Compliance is
A toolkit to help you run your own lets in England:
- Deadline tracking. We remind you before your key dates, based on the dates you give us:
- gas safety checks;
- electrical safety (EICR);
- EPCs;
- deposit protection and prescribed information;
- smoke and carbon monoxide alarm checks;
- Right to Rent follow-up checks;
- the written information you must give tenants;
- registration on the private rented sector database, which the government plans to open region by region from 15 December 2026 (the dates are in draft regulations), and its fee (expected to be £65 a property, per government guidance);
- A calendar for each property. Every date above in one list, worst first, with the next step for each, and a private calendar feed you can add to Apple, Google or Outlook calendar.
- Register tracker. We remind you before your region's registration deadline. You register yourself — the law requires landlords to register, and we cannot do it for you.
- Up to 4 properties in England.
- Certificate copies. You can attach a photo or PDF of each certificate to its record. The copy is kept with your account, and shows in your document vault in the web portal.
- Your document vault. In the web portal, the documents you add to your vault are kept with your account. A gas safety record, electrical safety report or EPC you add there for one of your properties, with the date on it, goes on that property's calendar. In the phone app, the vault you add to on the phone stays on the phone.
- One set of reminders for each certificate. Where the calendar reminds you about a certificate, the vault doesn't send a reminder of its own for it.
We don't read or check the certificates you attach: the dates come from the published rules and the dates you give us. The copies are yours. Deleting a document from your vault deletes its file; removing a certificate from the calendar keeps its copy in your vault until you delete it. Landlord Compliance does not include notice templates. If we add them, we will update these terms first.
The free tier is the register-deadline checker and email reminders of your region's registration date. It covers only your PRS Database dates.
B2. What it is not
Landlord Compliance tracks your dates and reminds you. We don't inspect properties, serve notices or act in court. If your situation is unusual or disputed, speak to a solicitor or a housing adviser.
In particular:
- We don't decide anything for you. We do not tell you whether a rule applies to your tenancy, whether you have grounds for possession, whether a rent increase is reasonable, or whether a notice will succeed.
- We don't check your circumstances. We do not check your tenancy, your deposit position or your tenant's circumstances.
- We do not serve notices. You serve any notice on your tenant yourself, or through your own agent.
- We do not act in court or at a tribunal. We do not prepare or issue court claims (such as possession claims), defend claims, file documents, or represent you.
- We do not deal with your tenants for you.
- It is not a letting or property management service, and we do not hold deposits or rent.
- It is not an accountancy or tax service. Tax on your rent is covered by Landlord Tax, under separate terms and an engagement letter.
- Reminders. We send reminders based on the dates you enter, but you remain responsible for meeting your legal obligations as a landlord.
B3. Our responsibility to you
- We provide the toolkit with reasonable care and skill.
- We keep the rules behind the calendar in line with GOV.UK guidance and the law. When a rule changes, we update the calendar promptly.
- We are responsible for foreseeable loss caused by our failure to do those things. We are not responsible for loss caused by:
- the information you enter;
- what you do, or do not do, about a date;
- the outcome of any proceedings.
- Cap. Our total liability to you under these terms is limited to the greater of £1,000 or the fees you paid us in the 12 months before the claim. This does not limit liability we cannot limit by law, including for death or personal injury caused by negligence, for fraud, or under your consumer rights. (Section 11 of our Terms of Service also applies.) The free tier is general information only.
B4. Price, cancelling and refunds
- Landlord Compliance costs £6 a month including VAT. It is paid monthly in advance and you can cancel online at any time. It stops at the end of the paid month.
- You may cancel within 14 days of your first payment for a full refund.
- When your account closes, our Privacy Notice explains how long we keep your records and when we delete them.
B5. Tenants' personal data in your records
Your records may contain your tenants' personal data, for example a name or address on a certificate copy you attach. You are the controller of that data. We store it only on your instructions, as your processor.
UK GDPR Article 28 requires these terms between us. We:
- process it only to provide the calendar and reminders, on your documented instructions;
- ensure anyone who can access it is bound by confidentiality;
- keep it secure: encrypted, in AWS data centres in the EU (Stockholm), which UK law treats as adequate, with restricted access;
- use only the sub-processors listed at rightolandlord.co.uk/privacy#processors, and tell you before adding one, so you can object or leave;
- help you respond to your tenants' data protection requests, and help with security and breach duties;
- tell you without undue delay if a breach affects your records;
- delete the data when you close your account, as our Privacy Notice explains (B4);
- give you the information needed to show we comply, and allow reasonable audits.
You must only attach tenant data you are allowed to hold, and tell your tenants how you use it.
B6. Changes and law
Our Terms of Service apply to changes, complaints, moving your agreement to another NJG company, and the governing law (England and Wales). If we move, the new company becomes your processor under B5 on the same terms, and we tell you at least 30 days before, so you can object or leave.
