What is the best MTD software for HMO landlords?

By Righto Landlord · Last reviewed · 12 sources

No single product is best. On 18 October 2026, 132 products for individuals on HMRC's finder were ready for UK property income. For an HMO, pick one that copes with many rent payments and bills, and sends the tax return.

A house in multiple occupation (HMO) is taxed like any other let: its rent is UK property income. What changes is the volume. Five rooms paid monthly is 60 rent payments a year, before the gas, electricity, broadband and council tax you may pay for the house. Making Tax Digital for Income Tax (MTD) means keeping each of those as a digital record, sending HMRC four quarterly updates a year and filing your tax return from compatible software. HMRC does not recommend any product.

Your landlord deadlines, handled

When you need it at all

MTD depends on your qualifying income: rent plus any self-employed turnover, before expenses. A bills-included rent counts in full. You start on 6 April 2027 if that was over £30,000 in 2025-26, or 6 April 2028 if it was over £20,000 in 2026-27. Over £50,000 in 2024-25 meant you should have started on 6 April 2026. Only your share counts if you own jointly. The HMO sign-up guide has a worked example.

What makes an HMO different for software

All your UK lets are one business. GOV.UK says your UK properties are treated as one UK property business, and you do not need separate records for each one. GOV.UK also says a landlord cannot use more than one software product to send quarterly updates of property income or expenses. In our reading, the HMO and any other UK lets go into one update from one product.

Bills are income and expenses. GOV.UK says rental income includes charges for services you provide, such as heating, hot water and cleaning of communal areas. It lists water rates, council tax, gas and electricity as expenses you can deduct if you pay for them yourself. HMRC's manual (PIM2140) names HMOs as a case where the landlord may pay council tax, and PIM2076 says the cost of services you provide is allowable when their receipts are in your property income. The council tax and bills guide explains when you can claim them.

Furniture wears out faster. Replacing a bed, sofa or fridge may qualify for replacement of domestic items relief. HMRC's manual (PIM3210) says it covers replacements only, not the first purchase, and an upgrade is capped at the like-for-like cost. HMRC's quarterly update categories have no line for it, so in our reading you claim it when you file the tax return: check your software lets you enter it there.

Mortgage interest is flagged. GOV.UK says landlords with UK residential property must record whether an expense is a restricted finance cost.

Rent a Room does not apply unless you live in the house. GOV.UK describes it as letting furnished accommodation in your home, as a resident landlord whose only or main home it is.

What to look for on the finder

These counts are from HMRC's software finder on 18 October 2026, for the 132 products for individuals listed as ready now for UK property income. We counted what the finder states; we have not tested them.

50 products were listed as both kinds. The finder does not show bank feeds, per-property tags or room and tenant tracking, so check those on the vendor's own page. GOV.UK says software that creates digital records may do it by linking to your business bank account to import transactions automatically, by scanning receipts or by manual entry. Our MTD software census has the full counts, and the landlord software comparison lists landlord products with their prices.

What this means for you

If you already keep a tidy spreadsheet with a row per room, bridging software lets you carry on and send the totals. If your bank account fills with rent and bills every month, software that creates records and pulls in your bank transactions saves the most typing. Either way, record each payment with its amount, date and category, as GOV.UK requires, as close to the date as you can.

Room-by-room tracking is not an HMRC requirement, but it shows which tenant is behind and which room stood empty. GOV.UK says free products are for simple tax affairs and may have limits, such as a limited number of transactions, which matters with 60 or more rent payments a year. Check that yours covers every property you let and sends the tax return as well as the updates; GOV.UK allows a separate product for the return, but one product is simpler. Your licence is a separate council matter: see do I need an HMO licence.

Steps to choose your software

  1. Use the free MTD check to see whether, and when, MTD starts for you.
  2. On HMRC's finder, filter for UK property and any other income you have, such as self-employment.
  3. Decide between a spreadsheet with bridging software and software that creates records.
  4. On the vendor's own page, check bank imports, how many properties it allows and whether it files the tax return.
  5. Try it with one month of real rent and bills, including council tax and any replaced furniture.
  6. Sign up for MTD with HMRC and connect the software before your first update is due.

Questions people ask

Do I need separate records for each room or each property?

No. GOV.UK says all your UK lets are treated as one UK property business, and you do not need separate records for each UK property. Tracking rooms is for your own use, such as spotting arrears and empty rooms.

Can I use one product for my HMO and another for my other lets?

Not for UK lets. GOV.UK says that if you are a landlord, you cannot use more than one software product to send quarterly updates of your property income or expenses. All your UK lets are one business, so in our reading the HMO and your other UK lets go in one update from one product.

My rents include bills. What do I record?

The full rent as income, and each bill you pay as an expense. GOV.UK lists water rates, council tax, gas and electricity as expenses you can deduct if you pay for them yourself, and HMRC's manual names HMOs as a case where the landlord may pay council tax.

Can I claim for replacing a worn-out bed or fridge?

Usually, through replacement of domestic items relief, if the old item is no longer available to the tenant and you have not claimed capital allowances on the new one. HMRC's manual says it covers replacing items such as furniture and appliances, not buying them for the first time, and an upgrade is capped at the like-for-like cost.

Is my HMO licence fee an expense?

HMRC has not said either way. GOV.UK's list of allowable expenses does not name licence fees. HMRC's Business Income Manual (BIM35901) says rights lasting, as a rough rule of thumb, 2 years or more are likely to be capital, and an HMO licence can last up to 5 years. Keep the invoice, record the fee as its own entry and check the treatment with HMRC before you claim it.

Can I use Rent a Room for my HMO?

Only if you live there. GOV.UK says the scheme covers furnished accommodation in your home, for a resident landlord letting part of a property that is their only or main home. An HMO you do not live in does not qualify.
